Costs, travel and reimbursements

What projects usually cover, why limits exist and how to avoid surprises before booking travel.

Funded does not mean unlimited spending

Erasmus+ grants use budget categories and often unit contributions. A project receives support for organization, travel, stay, inclusion or other needs depending on the action. That does not make every expense reimbursable.

The call should explain what is included and what the organization manages directly. Exact rules depend on the programme, call year, distance and destination country.

02

Before booking

Do not book transport from a social post alone. Ask for written confirmation of your place and travel conditions.

  • The travel limit or distance band for your route.
  • Permitted arrival and departure dates.
  • Allowed transport and green travel rules.
  • Documents to keep and submission deadline.
  • Who covers any difference if you choose a more expensive option.
03

Preparing a clean reimbursement

Keep tickets, invoices, boarding passes and proof of payment. Make legible copies and match every document to the correct leg. If the itinerary changes, tell the organization in advance whenever possible.

Reimbursement may arrive after the activity and document validation. Ask about timing and provide bank details only through an authorized, secure channel.

04

Warning signs

Nobody should promise that everything is covered without checking your route or ask for a fee to guarantee selection. Hiding accommodation or financial rules until after booking is also unreasonable. If something is unclear, pause and ask for the agreement in writing.
